Terms and Conditions

Fit Forever Gym

These Terms and Conditions may change as we continue to evolve our business or as external factors require us to do so. If we change these Terms and Conditions, we will post the revised document here on the Fit Forever Gym website, and such changes will be effective immediately upon posting.

Your continued use of the website and facilities constitutes your acceptance of such changes and agreement to be bound by the modified Terms and Conditions. We recommend reviewing these Terms and Conditions periodically when accessing or using the facility.

1. Membership and Access

  • All members must use the barcode scanning function for contactless entry into Fit Forever Gym.

  • Members can get their barcode card at the gym reception. Issuing a new or replacing a lost barcode card incurs a €5 fee.

  • Familiarise yourself with fire exits and evacuation routes in case of evacuation.

  • Employees are NOT required to “seek & search” the building. Follow all relevant instructions.

  • Membership provides access to specific facilities:

    • Gym Membership: Access to both the gym and studio.

    • Classes Membership: Access to the studio only during the scheduled class times.

2. Membership, Classes, and Personal Training Fees

  • No Free Entry: All use of Fit Forever Gym requires payment. Non-members must purchase either a day pass, a 10-entry pass, or a membership. We do not provide free entry to the gym or to classes.
     

  • Day Pass (Pay as You Go):

    • A day pass allows one-time entry to the gym or one-time entry to a scheduled class.

    • A separate day pass must be purchased for each visit, we offer 1 day pass or 10 days pass at a discounted price. 
       

  • 10-Entry Passes:

    • A 10-entry gym pass provides access to the gym on 10 separate occasions.

    • A 10-entry class pass provides access to 10 scheduled group classes.

    • Class passes are valid only for official group classes listed on the timetable, at the designated day and time.
       

  • Classes:

    • Group classes are only those that appear on the published timetable.

    • To attend a group class, you must either hold a membership that includes classes or purchase a class pass/day pass.

    • Private training with friends in the studio does not count as a “class.” Any self-arranged training outside the official timetable requires either a gym membership or a gym day pass.
       

  • Personal Training Sessions:

    • Personal training is a separate service, privately arranged with a trainer.

    • Personal training is not included in memberships, class passes, or gym passes.

    • All non-members attending a personal training session must also purchase a gym day pass to access the facility.

    • Personal training fees are set and collected by the trainer directly and are not interchangeable with membership or class fees.
       

  • Membership Options:

    • Memberships provide ongoing access to either the gym, classes, or both depending on the type chosen.

    • All memberships must be paid in advance and renew monthly unless cancelled according to our cancellation policy.
       

3. Marketing and Media Consent

  • By purchasing any form of membership, including day pass entry or gift voucher, members agree that Fit Forever Gym may use video footage or photos taken on the premises for marketing purposes, including but not limited to social media, website content, and promotional materials.

  • By tagging Fit Forever Gym on social media platforms, members grant permission for the gym to download and use such tagged images for marketing purposes.

  • Attendance at the gym or participation in classes constitutes acceptance of this condition. If you do not agree, please do not purchase or use our services.
     

4. Health and Safety

  • Members are required to comply with the rules and follow health and safety guidance displayed on the premises.

  • Members must clean machines with the cleaning products provided at various stations around the gym. Clean handles and areas touched with hands or body to ensure equipment is ready for the next person.

  • The use of Fit Forever Gym and its facilities is at the member’s own risk, and we shall have no liability for any loss, injury, or damage sustained by the member.

  • Fit Forever Gym, its members, employees, and third-party agents are indemnified against any action or claim arising in injury, loss, damage, or death as a result of the member using the gym facilities.
     

5. Parking and Gym Facilities

  • Due to the restricted number of parking spaces available at Fit Forever Cavan, a two-hour parking limit is in place.

  • No Towel, No Entry: Members must bring a towel when entering the gym.

  • Members are NOT allowed to have gym bags on the gym floor.

  • Outside shoes or boots are not allowed on the gym premises. Members must bring spare gym shoes to use exclusively while training. This policy helps to prevent soil and mud from being brought into the gym.
     

6. Membership Terms

  • Minimum Age: The minimum age to join Fit Forever Gym is 14. Parents must ensure that children are supervised at all times and that all equipment is used safely and responsibly. Fit Forever Gym and its staff are not responsible for any accidents or injuries.

  • Lockers are provided for daily use only and must not be used overnight. Unclaimed property is kept on the premises for a maximum of 7 days before being donated to charity.

  • Fit Forever Gym is not responsible for any loss, damage, or theft of property. Members are responsible for providing a secure lock to protect their property in the lockers provided.
     

7. Refunds and Returns

  • Memberships, class passes, daily entries, and gift vouchers are non-refundable once purchased.

  • Gift vouchers are valid only until the stated expiry date and cannot be extended.

  • Refunds may only be issued at the discretion of management in exceptional circumstances.
     

8. Code of Conduct

  • The gym and its facilities shall not be abused or damaged in any way. Any damage caused to Fit Forever Gym property due to reckless or negligent acts will be charged to the responsible member.

  • Management reserves the right to refuse an application for membership or entry to the gym.

  • Management reserves the right to terminate membership at any time for any reason we see fit, including but not limited to non-compliance with these Terms and Conditions or behaviour deemed detrimental to the welfare, good order, or character of the gym, management, and its members.

  • Members and guests are encouraged to submit comments or complaints via email to fitforever15cavan@gmail.com. Ensure all contact details are provided so our team can respond promptly.
     

9. Payment Terms

  • Monthly Payments

    • All monthly membership fees are collected in advance by direct debit or card payment.

    • Payments are due irrespective of how often you use the gym or attend classes.

    • In the event of a failed or missed payment, Fit Forever Gym reserves the right to reapply for the outstanding amount from your bank account or credit card throughout the billing month.

  • Rolling Membership

    • Monthly memberships operate on a rolling basis, beginning from the date of your first payment.

    • Each payment renews your membership for the following 30 days unless you freeze or cancel in accordance with our policies.

  • Freezing Reference

    • Memberships may be frozen for €10 per month for up to 90 days, subject to the separate Membership Freezing and Reactivation Policy outlined in Section 10.

  • Cancellation Reference

    • If you wish to cancel, you must send us an email and complete the official cancellation form provided by Fit Forever Gym.

    • A cancellation fee of €9.99 applies.

    • If cancellation is not completed through the correct procedure, your membership will remain active, and fees for the next billing cycle will still apply.
       

10. Membership Freezing and Reactivation Policy

  • Eligibility to Freeze

    • A membership may be frozen only in cases where the member is medically unfit to attend the gym.

    • To request a freeze, you must email a valid GP’s letter confirming your inability to attend to fitforever15cavan@gmail.com.

    • Requests cannot be submitted at reception; email is mandatory as we require a copy for compliance and record-keeping.

  • Freezing Terms

    • A fee of €10 per month applies during the freeze period.

    • Membership can be frozen for a maximum of 90 consecutive days.

    • During the freeze, the member will have no access to the gym or classes.

  • Reactivation Requirements

    • Before returning to the gym, you must email a GP’s clearance letter to fitforever15cavan@gmail.com.

    • Access to the gym will not be restored until the clearance letter is received and approved.

    • Reactivation requests must be submitted in advance of your return date to allow for processing.

  • Important Notes

    • Freezing does not cancel your membership; it temporarily suspends it. Once the freeze period ends (or once a reactivation request is processed), your membership payments will automatically resume at the standard rate.

    • If a freeze or reactivation occurs mid-billing cycle, charges will be adjusted on a pro-rata basis.

    • Failure to follow the correct freeze/reactivation process will result in normal membership charges continuing.
       

11. Cancellation Policy

  • Step 1 – Pay the Cancellation Fee

    • A cancellation fee of €9.99 must be paid in advance through a secure Stripe link: Pay a Cancellation Fee Here

    • After payment, you must take a screenshot of your payment confirmation.
       

  • Step 2 – Email Confirmation

    • Once the fee is paid, you must send an email to fitforever15cavan@gmail.com.

    • Your email must include:

      1. The screenshot of your payment,

      2. The following statement written clearly:

        “I would like to cancel my Fit Forever Gym membership.”

      3. The reason why you are cancelling, so we can use feedback to improve our services.

  • Notice Period

    • A minimum of 14 days’ notice is required.

    • Notice is based on your personal billing cycle (30 days from your joining date), not on the 1st of the calendar month.

    • For example, if your renewal date is the 12th, we must receive your cancellation email (with payment screenshot and statement) at least 14 days before that date.

  • Important Conditions

    • Verbal cancellations, text messages, or messages on social media platforms (e.g. Facebook, Instagram) will not be accepted.

    • Cancellations will only be processed once the fee has been paid and the required email with screenshot and statement has been received.

    • Until these steps are completed, your membership will remain active, and fees will continue to be charged.

    • Cancellations cannot be backdated; they take effect from the date we receive your correct request.
       

12. Privacy and CCTV

  • Your data privacy and security are important to us. Refer to our Privacy Notice for details on how we collect, store, and handle your personal data.

  • CCTV operates throughout the gym (excluding changing areas). Unlawful activity may result in legal action.

  • By joining Fit Forever Gym, members consent to the use of video and photo recordings both in the form of CCTV and camera recordings for potential use on social media.
