Refunds and Returns Policy

Refunds and Returns 

1. Payments

  • Monthly direct debits are due in advance and are payable regardless of gym usage.

  • In the event of default, we reserve the right to reapply for the outstanding amount from your bank account or credit card at any time during the month.

  • Ex-members wishing to rejoin must clear any unpaid balance from their previous membership before starting a new one.

  • Members wishing to transfer to a club in pre-sale may only do so once that club officially opens.
     

2. Membership Terms

  • Monthly memberships operate on a rolling 30-day contract from the date of joining.

  • Memberships cannot be cancelled during the first 30 days after your initial payment.

  • Memberships remain active unless frozen or cancelled in line with this policy.
     

3. Freezing Membership

  • All memberships (monthly and fixed-term) may be frozen for medical or personal reasons.

  • Minimum freeze period: 2 weeks

  • Maximum freeze period: 90 consecutive days

  • Fee: €10 per month (or part thereof)

  • Freeze fees must be paid in advance through Stripe (e.g. €10 for 1 month, €20 for 2 months, €30 for 3 months).

  • After payment, members must email fitforever15cavan@gmail.com with:

    1. A screenshot of payment confirmation,

    2. The reason for freezing,

    3. The requested reactivation date.

  • During the freeze period, members will not have access to the gym or classes.

  • Requests must be submitted at least 12–14 working days before the next billing date.

  • Fit Forever Gym reserves the right to manually adjust freeze arrangements if necessary.

  • Memberships may be cancelled while frozen, but the freeze fee already paid is non-refundable. The standard cancellation process and €9.99 cancellation fee still apply.
     

4. Cancellations

  • All cancellations require written notice and advance payment of a €9.99 cancellation fee.

  • To cancel, members must:

    1. Pay the fee via Stripe.

    2. Take a screenshot of payment.

    3. Email fitforever15cavan@gmail.com with:

      • The screenshot,

      • The phrase: “I would like to cancel my Fit Forever Gym membership”,

      • The reason for cancellation.
         

  • A minimum of 14 days’ notice before your next billing date is required.

  • Cancellations cannot be submitted during the joining month.

  • Cancellations cannot be backdated; they only apply from the date the correct request is received.

  • Verbal cancellations or requests via social media will not be accepted.

  • Memberships can only be cancelled if all payments are up to date.

  • Monthly and prepaid fees are not refundable.
     

5. Refunds for Memberships

  • Monthly Memberships (Rolling Contracts):

    • Rolling monthly memberships may be cancelled according to the cancellation policy.

    • Monthly fees already paid are non-refundable, but future payments can be stopped once cancellation is correctly processed.
       

  • Fixed-Term Memberships (3, 6, or 12 Months):

    • Discounted fixed-term memberships are non-refundable.

    • By purchasing a fixed-term membership, members commit to the full term at the discounted rate.

    • Early cancellation or refund requests will not be accepted, including for unused months.
       

  • Gift Vouchers:

    • Gift vouchers are non-refundable and must be used within their validity period.
       

  • Exceptional Circumstances:

    • Refunds may only be considered in proven exceptional cases (such as serious medical conditions preventing gym use) and are at the sole discretion of Fit Forever Gym management.
       

6. Refunds for Retail Purchases

  • Clothing: Items may be returned for a full refund if they are unused, unworn, and have the original tags still attached.

  • Supplements, Vitamins, and Consumables: Items may be returned for a full refund only if they are unopened, unused, and in their original sealed packaging max 10 days from date of purchase.

  • Refunds will be processed back to the original payment method once the returned items have been inspected and approved.

  • Refunds for retail items will not be accepted if products have been opened, used, or damaged after purchase.
     

7. Additional Terms

  • Fit Forever Gym reserves the right to suspend or withdraw membership from any individual who abuses privileges or behaves in a way detrimental to staff or members.

  • Suspension or expulsion will take effect immediately, with no reimbursement for unused fees.

  • Members may also be suspended or expelled for serious or repeated breaches of these rules, or where payments remain unpaid.

  • An expelled member forfeits all rights and privileges of membership and remains liable for outstanding fees.

  • No refunds will be issued for subscriptions.
